Operations Director
Salary banding: £35k – £45k
Hybrid – 3 days per week in the Manchester office
We’re seeking a proactive Resource Manager to join our team at Embryo during an exciting time which plans to grow our client portfolio and innovative services over the next 3 years.
Role Responsibilities:
- Responsible for managing the schedules and resource allocation of the entire service function.
- Run regular resource and capacity planning meetings with both the Operations Director and Heads of Service to ensure work is delivered on time, to brief and on budget.
- Work closely with the Client Services team to:
- Ensure a smooth transition from onboarding a client to ongoing account management.
- Schedule additional projects, client requests and manage demand.
- Ensure delivery teams are available to provide support with client upsell opportunities (documentation, estimates, attending meetings, etc.).
- Work closely with the Sales team to:
- Ensure delivery teams are available to provide support with new client opportunities (documentation, estimates, attending meetings, etc.).
- Ensure capacity is available within the delivery teams to service all new clients being onboarded.
- You will work with our Heads of Service to:
- Coordinate internal resources and third-party vendors for the flawless execution of projects.
- Manage team capacity.
- Coordinate cross-department campaign collaboration.
- Ensure delivery teams are tracking their time accurately and on a daily basis.
- Supporting the Operations Director with:
- Running a monthly operations report covering capacity, utilisation, servicing, profitability, etc.
- Identifying risks and issues related to delivery of work and implementing mitigation strategies to keep client retainers and projects on track.
- Highlight whether we have the skillset and capabilities within the delivery teams to fulfil client briefs.
- Feedback to Sales, Strategy, Client Services and Heads of Service the accuracy of briefs vs time estimates provided.
- Conduct post-project evaluations to assess outcomes and identify lessons learned.
- Inducting new starters, ensuring they’re set-up on our business systems and they understand the expectations of how they should be used.
- You will support with/project manage any one-off projects that are required to be delivered for our clients, including:
- Planning and timelines
- Internal and Client communication (with support of Client Services)
- Resource allocation
- Ensure teams are following Embryo’s ways of working.
- Conducting post-project evaluations to assess outcomes and identify lessons learned.
- Utilise our project management software to ensure teams are planning and executing all tasks for clients.
- Support with strategies and plans for any clients deemed to be ‘at risk’.
Skills and Knowledge:
- 3+ years experience in a similar role.
- Strong communication skills to work effectively with clients and teams.
- Excellent organisational and multitasking skills with the ability to manage multiple projects and schedules simultaneously.
- Proactive nature with an ability to work collaboratively in a team-oriented environment.
- Experience in using project management software and CRM systems.
- Strong problem-solving skills and adaptability to changing project requirements.
- Understanding of SEO, PPC and Paid Social marketing strategies.
